Job Overview

We are seeking a qualified, experienced, and highly organized Human Resources & Administration Officer to support effective human resource management, employee relations, administration, procurement coordination, and compliance with organizational policies and applicable employment laws.

The successful candidate will play an important role in maintaining accurate employee records, supporting staff development, coordinating administrative activities, and ensuring smooth day-to-day office operations.

Key Responsibilities
 
  • Manage human resource activities in accordance with the organization's HR Manual, policies, and procedures.
  • Maintain accurate and up-to-date staff files, personnel records, and other HR documentation, ensuring their security, confidentiality, and proper accessibility.
  • Ensure compliance with applicable employment laws, labour regulations, HR policies, and statutory requirements.
  • Provide input into the organization's annual staffing and human resource budget, including recruitment, training, and other employee-related costs.
  • Coordinate staff training, capacity building, professional development, and employee development initiatives.
  • Participate in relevant professional development programmes, HR networking events, conferences, and industry forums to enhance knowledge and organizational practices.
  • Conduct employee exit interviews and analyze feedback to identify trends and possible areas for improving employee retention and engagement.
  • Coordinate and attend to procurement-related matters, ensuring compliance with established procurement policies and procedures.
  • Periodically review procurement and disposal processes and procedures and recommend improvements where necessary.
  • Monitor office requirements and ensure adequate availability of office supplies, stationery, and administrative resources to support effective operations.
  • Support management in resolving employee relations, disciplinary, performance, and workplace-related matters in accordance with established policies.
  • Maintain confidentiality when handling sensitive employee, organizational, financial, and administrative information.
  • Prepare HR and administrative reports and provide relevant information to management when required.
  • Perform any other duties and responsibilities assigned by the General Manager or Management.

Qualifications and Experience
 
  • A Bachelor's degree in Human Resources Management, Business Administration, or a related field.
  • A Master's degree in Human Resources, Business Administration, Management, or a related discipline will be an added advantage.
  • At least five (5) years of verifiable experience in Human Resource Management or a related HR and administration role.
  • Strong knowledge of employment laws, labour regulations, HR policies, and related legal frameworks.
  • Working knowledge of procurement processes and procedures.
  • Experience in employee records management, staff development, employee relations, and HR administration is highly desirable.

  • Ability to work independently while collaborating effectively with management and employees.
  • Good understanding of HR policies, procedures, employment legislation, procurement, and office administration.
  • Strong problem-solving and analytical abilities.
  • Good computer literacy and ability to use common HR and office productivity systems.
