Job Summary

C-Care Uganda is seeking a Pharmacy Stock Assistant responsible for managing pharmacy inventory, ensuring accurate stock control, and supporting efficient supply chain operations.
The successful candidate will ensure optimal stock availability by preventing stock-outs and overstocking while maintaining accurate inventory records and compliance with healthcare quality standards.
The role involves receiving supplies, verifying deliveries, managing storage systems, conducting stock audits, preparing reports, and ensuring timely issuance of pharmacy items to patients and departments.

Key Responsibilities

1. Inventory Management and Stock Control
The Pharmacy Stock Assistant will:
  • Maintain optimal pharmacy stock levels to prevent shortages and excessive inventory.
  • Monitor stock movement and ensure availability of essential medical supplies.
  • Update inventory records for all stock transactions.
  • Conduct routine stock counts and reconcile inventory differences.
  • Identify stock discrepancies and support corrective actions.

2. Receiving and Verification of Supplies

Responsibilities include:
  • Raise purchase requisitions for required pharmacy supplies.
  • Receive and inspect delivered items.
  • Verify deliveries based on:
    • Quantity
    • Quality
    • Completeness
    • Expiry dates
  • Prepare Goods Received Notes (GRNs).
  • Ensure received items match approved orders and documentation.

3. Pharmacy Storage Management

The role will ensure:
  • Proper organization of pharmacy inventory.
  • Application of stock rotation principles:
    • FIFO (First In, First Out)
    • FEFO (First Expiry, First Out)
  • Clean, secure, and compliant storage areas.
  • Proper arrangement of medicines and medical supplies.
  • Safe handling of healthcare inventory.

4. Stock Issuing and Billing Support

Key duties include:
  • Ensure accurate issuance of stock items to patients and hospital departments.
  • Support proper billing and documentation of issued items.
  • Maintain complete records of stock movement.
  • Ensure all transactions are properly recorded in the system.

5. Expiry Monitoring and Returns Management

The Pharmacy Stock Assistant will:
  • Monitor expiry dates of medicines and supplies.
  • Identify discontinued, damaged, or expired stock.
  • Process returns according to approved procedures.
  • Maintain proper documentation for returned items.

6. Reporting and Compliance

Responsibilities include:
  • Prepare inventory reports.
  • Maintain accurate stock documentation.
  • Support internal and external audit processes.
  • Ensure compliance with:
    • Hospital policies
    • Pharmacy procedures
    • Quality standards
    • Inventory control requirements

Qualifications and Requirements

Education Requirements
Applicants should have:
  • Certificate of Training as a Pharmacy Assistant.

Professional Experience

Candidates should have:
  • Previous experience in stock management.
  • Experience working in a healthcare, pharmacy, hospital, or medical supply environment is preferred.
  • Knowledge of pharmacy inventory procedures and documentation.
