Job Summary

Key Responsibilities

• Manage daily procurement activities to ensure timely availability of required goods and services.
• Source, evaluate, and maintain relationships with reliable suppliers.
• Obtain quotations and conduct supplier comparisons to achieve value for money.
• Negotiate prices, payment terms, and delivery schedules with vendors.
• Prepare and process purchase orders according to company procedures.
• Ensure all purchases meet required quality standards and specifications.

• Develop and maintain strong relationships with suppliers and service providers.
• Monitor supplier performance, pricing, quality, and delivery timelines.
• Identify alternative suppliers to improve efficiency and reduce procurement risks.
• Resolve supplier-related issues professionally and promptly.

• Coordinate with stores and departments to monitor stock levels.
• Support efficient inventory management and stock replenishment.
• Ensure proper documentation of received goods and purchased items.
• Work closely with departments to forecast procurement needs.

• Maintain accurate procurement records, supplier databases, and purchase documentation.
• Ensure compliance with hotel procurement policies and procedures.
• Support audits by providing relevant procurement documents and reports.
• Ensure transparency and accountability throughout the procurement process.

• Identify opportunities for cost savings without compromising quality.
• Monitor market prices and supplier trends.
• Support budgeting and procurement planning activities.
• Ensure procurement decisions contribute to operational efficiency.

Required Qualifications

• Diploma or Bachelor’s Degree in Procurement, Supply Chain Management, Business Administration, Logistics, or a related field.
• Professional qualifications such as CIPS, CPA, or ACCA will be an added advantage.

Required Experience

• At least 3–4 years of procurement experience.
• Experience within the hospitality industry is highly desirable.
• Experience managing suppliers, purchase orders, inventory, and procurement systems.

Required Skills and Competencies

• Strong procurement and supply chain management skills.
• Excellent negotiation and supplier management abilities.
• Good knowledge of purchasing procedures and inventory control.
• Strong organizational and time-management skills.
• Attention to detail and accuracy.
• Excellent communication and interpersonal skills.

• Problem-solving and decision-making skills.
• Ability to manage multiple priorities effectively.
• Flexibility and creativity in handling procurement challenges.

Technical Skills Required

• Microsoft Office applications, especially Microsoft Excel and Word.
• Procurement management systems.
• Inventory management software.
• Procurement reporting and documentation.
