Nile Breweries Limited is seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative and secretarial support while actively participating in the implementation of Voyager Plant Optimisation (VPO) routines. The successful candidate will support plant operations by ensuring efficient office administration, budget management, stakeholder coordination, and compliance with company safety and operational standards.

Job Summary
The Administrative Assistant will provide administrative, secretarial, and operational support to the Plant Manager, Head of Department, or Manager. The role involves front office management, meeting coordination, budget administration, office logistics, document management, visitor coordination, and supporting VPO initiatives to improve operational efficiency within the manufacturing plant.

Key Responsibilities
Health, Safety and Environmental Compliance
The successful candidate will:
  • Maintain a safe, healthy, and risk-free working environment.
  • Ensure compliance with safety, health, and environmental legislation and company procedures.
  • Promote workplace safety and maintain housekeeping standards.
Front Desk Management
  • Welcome and register office visitors professionally.
  • Maintain positive relationships with visitors, customers, and stakeholders.
  • Answer, screen, and direct incoming telephone calls.
  • Manage access to the Plant Manager, Head of Department, or Manager's office.
  • Safeguard office keys and control authorized office access.
Secretarial Services
  • Prepare meeting agendas and record accurate meeting minutes.
  • Draft company letters, memos, and official correspondence.
  • Maintain efficient filing and document management systems.
  • Manage incoming and outgoing mail, messages, and correspondence.
  • Maintain an updated database of key stakeholder contacts.
  • Ensure office cleanliness and compliance with 5S workplace standards.
Administrative Support
  • Coordinate travel arrangements, accommodation, airport transfers, and invitation letters for company visitors.
  • Process bookings for air travel, hotel accommodation, vehicle hire, and visa applications for management where applicable.
  • Ensure continuous availability of office supplies, stationery, and refreshments.
  • Organize meetings, conferences, workshops, and review sessions.
  • Ensure office equipment, including printers and projectors, is properly maintained.
  • Coordinate departmental events such as birthdays, anniversaries, and other staff welfare activities.
  • Manage the receipt and issuance of Personal Protective Equipment (PPE).
  • Maintain proper filing and safe custody of company documents.
Budget Administration and Spend Analysis
  • Support the preparation of departmental and plant budgets.
  • Monitor departmental expenditure and ensure accurate cost allocation.
  • Process SAP transactions, Goods Receipt Notes (GRNs), and payment follow-ups.
  • Prepare expenditure reports for management.
  • Process housing-related payments, including rent, electricity, water, and refuse collection bills.
  • Process accountabilities and inter-company recharge transactions where applicable.
Fleet and Driver Coordination
  • Supervise drivers, including scheduling, leave management, performance monitoring, and overtime.
  • Process driver claims, including transport reimbursements and car wash expenses.
  • Maintain records of vehicle mileage, maintenance schedules, and utilization.
Support Voyager Plant Optimisation (VPO) Activities
  • Participate in daily VPO routines and plant operational meetings.
  • Support onboarding processes for new employees.
  • Assist in preparing VPO reports, documentation, and performance updates.

Qualifications
Applicants should possess:
  • Bachelor's Degree from a recognized and accredited institution.
  • Training in advanced computer applications such as COSWIN, SYPRO, SAP, and FlowCentric will be an added advantage.

Experience
Applicants should have:
  • Two (2) to three (3) years of experience in an FMCG or related industry.
  • At least one (1) year of experience in a manufacturing environment.

  • Good report writing and documentation skills.
  • Proficiency in Microsoft Office applications and ERP systems.
  • Experience using SAP and other enterprise management systems.

  • Ability to work effectively in a fast-paced manufacturing environment.
