Employment Type: Full-time (40 hours per week)
Contract Duration: 1 year renewable

Salary: UGX 1,872,000 gross per month (Salary Scale 3)

Job Summary

ZOA Uganda is seeking a qualified Logistics & Admin Officer to provide operational and administrative support to the Acholi and Karamoja programmes.
The officer will ensure effective management of:
  • Procurement processes.
  • Logistics operations.
  • Fleet and transport coordination.
  • Stores and assets.
  • Office administration.
  • Basic IT support.
  • Health, safety and security standards.
The role will work closely with the Programme Manager and Logistics Coordinator in Kampala to ensure compliance with ZOA policies, donor requirements and internal control procedures.

Key Responsibilities

1. Procurement Management

The Logistics & Admin Officer will:
  • Support procurement of goods and services according to ZOA procurement guidelines.
  • Receive and store purchased goods for programme activities.
  • Maintain accurate procurement records.
  • Update procurement trackers.
  • Maintain supplier databases.
  • Ensure procurement documents are complete and properly approved.
  • Support contract management and tender procedures.
  • Ensure transparency and accountability in procurement processes.

2. Asset Management

Responsibilities include:
  • Maintain and update ZOA asset registers.
  • Safeguard organizational assets.
  • Ensure all assets are properly tagged.
  • Prepare quarterly asset reports.
  • Track:
    • Asset ownership.
    • Asset condition.
    • Maintenance requirements.
    • Project allocation.
  • Follow up on repairs and maintenance needs.

3. Fleet and Vehicle Management

The officer will:
  • Coordinate transportation of staff and materials.
  • Monitor vehicle and motorcycle operations.
  • Ensure vehicles are safe and roadworthy.
  • Track:
    • Mileage.
    • Fuel consumption.
    • Repair costs.
    • Maintenance schedules.
  • Maintain vehicle documentation.
  • Review and update vehicle logbooks.
  • Submit monthly fleet reports.
  • Coordinate servicing and repairs.
  • Ensure timely renewal of motorcycle insurance.
  • Support field transport planning.

4. Stores and Inventory Management

Responsibilities include:
  • Manage office supplies and consumables.
  • Maintain stock cards.
  • Monitor availability of supplies.
  • Organize storage facilities.
  • Ensure proper handling of programme materials.
  • Maintain accurate inventory records.

5. IT Support

The Logistics & Admin Officer will provide basic IT support by:
  • Monitoring internet subscriptions and service providers.
  • Tracking internet usage.
  • Supporting staff with IT-related issues.
  • Maintaining IT equipment.
  • Ensuring computers and communication equipment remain functional.
  • Supporting staff training on:
    • Microsoft Office 365.
    • ZOA Manager system.
    • ZOA Quality Library.
  • Liaising with external IT consultants when required.

6. Office Health, Safety and Security

Responsibilities include:
  • Support maintenance of ZOA offices.
  • Ensure availability of safety equipment.
  • Monitor office health and safety standards.
  • Support compliance with security procedures.
  • Coordinate with management on safety improvements.

7. Accountability and Safeguarding

The officer will:
  • Promote awareness of ZOA feedback and complaint mechanisms.
  • Ensure complaints are properly documented.
  • Follow ZOA Code of Conduct.
  • Maintain safeguarding standards.
  • Ensure activities follow a “Do No Harm” approach.

Required Qualifications

Applicants should have:
  • Bachelor’s Degree in:
    • Procurement and Logistics.
    • Business Administration.
    • Administration.
    • Supply Chain Management.
    • Related fields.

Required Experience

Candidates should have:
  • Minimum 3 years of experience in logistics and administration.
  • Experience working with an NGO or international organization is preferred.
  • Experience in:
    • Procurement.
    • Store management.
    • Asset management.
    • Fleet coordination.
  • Understanding of fraud prevention and conflict of interest issues.
  • Familiarity with IT and communication equipment.
