IVMS Officer – Job Description
Key Responsibilities
Fuel Management and Reconciliation
- Monitor fuel consumption across the fleet and identify unusual variances.
- Conduct regular fuel reconciliation and maintain accurate fuel records.
- Track fuel efficiency and investigate discrepancies in fuel usage.
- Prepare daily fuel management and consumption reports.
Vehicle Maintenance Planning and Monitoring
- Plan and monitor scheduled vehicle maintenance activities.
- Track vehicle servicing, repairs, inspections, and maintenance schedules.
- Monitor vehicle uptime and availability to minimize operational disruptions.
- Coordinate with workshops and relevant operational teams to ensure timely maintenance.
Regulatory Compliance Management
- Ensure fleet operations comply with applicable transport laws, regulations, and company policies.
- Monitor the validity and timely renewal of vehicle permits, licenses, inspections, and related documentation.
- Follow up with drivers and operational teams on outstanding compliance requirements.
- Maintain accurate records of regulatory and fleet documentation.

- Frequent interaction with drivers, transport coordinators, workshops, border agents, customers, and operational teams.
- Ability to work effectively in a fast-paced transport and fleet management environment.
Key Performance Indicators (KPIs)
Performance will be assessed using the following key indicators:
- Fleet utilization rate.
- Vehicle uptime and availability.
- Journey compliance rate.
- Driver behaviour compliance score.
- Fuel efficiency and fuel variance performance.
- Vehicle maintenance compliance.
- Regulatory compliance status.
- Timely renewal of vehicle permits and licenses.
- Reduction in loading, offloading, and border delays.
- Accuracy and timeliness of fleet reports.
- Compliance with driver document submission requirements.
Key Reports to Be Generated
The IVMS Officer will be responsible for preparing and maintaining accurate operational reports, including:
- Daily Trip Count Report
- Daily Fleet Utilization Report
- Daily Fuel Management Report
- Daily Driver Behaviour Report
- Daily Route Deviation and Exception Report
- Daily Fuel Consumption and Variance Report
- Monthly Fleet KPI and Management Performance Report
