VACANCY ANNOUNCEMENT – HUMAN RESOURCES ASSISTANT INTERN

Contract Type: Internship (3–6 Months)

Position Overview
The Human Resources Assistant Intern will support the HR Unit in the UNFPA Country Office in Uganda. Under the supervision of the Human Resources Analyst, the intern will provide operational HR support and learn UN rules, procedures, and systems.
The internship duration is 3 to 6 months.
The intern is expected to provide impartial HR support to staff, consultants, and contractors while gaining practical experience in international HR systems and UN operations.
Job Purpose
The HR Intern will support effective delivery of HR services and assist in administrative and operational HR functions. The role involves interpreting HR rules and procedures, supporting documentation processes, and ensuring efficient HR service delivery within the UNFPA Country Office.
The intern is expected to demonstrate professionalism, sound judgment, and a client-oriented approach aligned with UNFPA regulations.
Key Responsibilities
Recruitment and Staffing Support
  • Maintain recruitment files and ensure all required documents are complete and properly filed.
  • Support recruitment and placement processes.
Contract and Consultant Management
  • Prepare manual offers and contracts for individual consultants.
  • Ensure all supporting documents are collected and properly filed.
Learning and Development Support
  • Track completion of mandatory training for staff.
  • Follow up with staff to ensure training records are complete and filed.
Onboarding Support
  • Draft offer and appointment letters.
  • Prepare onboarding and orientation materials.
  • Introduce new staff to relevant offices and processes.
  • Ensure onboarding documentation is completed and submitted.
HR Administration Support
  • Respond to routine HR queries from staff and offices.
  • Assist in handling general HR administrative tasks.
  • Maintain confidentiality in handling HR matters.
Records and Staff Management
  • Update staff and dependents lists.
  • File and organize HR documents.
  • Support administration of staff entitlements.
Separation Processes
  • Support staff exit processes and ensure clearance documentation is completed on time.
Qualifications and Eligibility
Applicants must meet one of the following:
  • Enrolled in a Bachelor’s degree program and completed at least one academic year, OR
  • Enrolled in a Master’s or postgraduate program, OR
  • Recently graduated (within 1 year), OR
  • Enrolled in a postgraduate professional trainee programme.
Experience and Skills
  • Interest or experience in development or HR-related work (including volunteer experience).
  • Strong analytical and writing skills.
  • Ability to work in multicultural environments.
  • Initiative, professionalism, and good judgment.
  • Ability to follow procedures and maintain confidentiality.
Language Requirements
  • Fluency in English is required
  • Knowledge of other UN languages is an advantage

Financial and Other Conditions
  • Interns may receive a stipend if not supported by another institution.
  • Interns must have valid medical insurance for the duration of the internship.
