Diageo is seeking a skilled and experienced HR Operations Specialist to support employee services, benefits administration, HR reporting, compliance, and employee lifecycle management.

Job Purpose

The HR Operations Specialist will deliver efficient and seamless HR operational services across the employee lifecycle, including recruitment onboarding support, benefits administration, employee records management, occupational health coordination, immigration support, HR reporting, and governance processes.
The role will ensure compliance with company policies, statutory requirements, and HR operational standards while providing employee-focused support and improving overall employee experience.

Key Responsibilities

1. Employee Onboarding and Lifecycle Management

  • Coordinate onboarding activities for new employees joining Uganda Breweries.
  • Prepare and distribute new employee announcements in collaboration with Corporate Relations teams.
  • Conduct employee induction sessions and introduce staff to company policies, benefits, and workplace procedures.
  • Educate employees on benefit programmes including:
    • Medical Insurance Scheme
    • Retirement Benefits Scheme (RBS)
    • Group Life Insurance
    • Personal Accident Cover
  • Ensure all new employees complete biometric registration on their first working day.
  • Support smooth employee transitions throughout the employment lifecycle.

2. Employee Records and HR Data Management

  • Maintain accurate employee records including physical and electronic files.
  • Ensure employee information is updated in HR systems.
  • Maintain data accuracy and confidentiality of employee information.
  • Manage employee documentation in compliance with company policies.
  • Ensure timely removal of exited employees from benefit programmes.
  • Support HR audits through proper documentation and record management.

3. Employee Benefits Administration

  • Manage administration of employee benefits including:
    • Medical insurance
    • Retirement benefits
    • Life insurance
    • Staff transport benefits
    • Reward programmes
    • Long service awards
  • Respond to employee queries regarding benefits and entitlements.
  • Coordinate annual benefits processes according to company policies.
  • Monitor benefits utilisation and compliance.
  • Maintain accurate benefits records and reports.
  • Liaise with insurance providers, medical scheme administrators, and external vendors.

4. Occupational Health and Employee Wellbeing

  • Coordinate implementation of annual Occupational Health plans.
  • Work with Occupational Health Physicians and Safety Managers to promote employee wellbeing.
  • Support management of onsite clinic operations.
  • Monitor healthcare service delivery standards.
  • Coordinate meetings with medical providers and insurance brokers.
  • Support workplace health initiatives and employee wellness programmes.
  • Ensure compliance with Occupational Health and Safety procedures.
  • Support public health and pandemic preparedness initiatives.

5. Immigration and Work Permit Administration

  • Manage employee immigration processes including:
    • Work permit applications
    • Visa processing
    • Renewals
    • Employee eligibility documentation
  • Coordinate with government authorities, immigration service providers, and Global Mobility teams.
  • Maintain accurate immigration records for employees and dependants.
  • Ensure compliance with immigration regulations.

6. HR Reporting and Analytics

  • Prepare monthly HR reports and dashboards covering:
    • Employee movements (joiners, movers, leavers)
    • Leave liability
    • Medical scheme utilisation
    • HR expenditure
    • Employee benefits
  • Analyse HR data and provide insights for decision-making.
  • Support workforce planning and HR operational reviews.
  • Maintain accurate HR performance records.

7. HR Governance and Compliance

  • Coordinate monthly HR controls review processes.
  • Ensure completion and maintenance of HR Controls Checklists.
  • Support internal audits and compliance reviews.
  • Maintain HR documentation according to organisational standards.
  • Ensure adherence to company policies and statutory requirements.

8. Reward and Employee Programmes

  • Support administration of employee reward programmes.
  • Coordinate Employee Sharesave Scheme (ESS) activities.
  • Communicate benefit programmes and enrolment requirements.
  • Ensure timely processing of employee rewards and recognition initiatives.

9. Integrated Management Systems Support

Support implementation and continuous improvement of:
  • Quality Management System (QMS)
  • Food Safety Management System (FSMS)
  • Environmental Management System (EMS)
  • Occupational Health and Safety Management System (OHSMS)
Ensure HR-related processes align with organisational standards.

10. Employee Relations and HR Support

  • Build strong relationships with employees across different departments.
  • Provide professional HR guidance and support.
  • Prepare employee reference and recommendation letters.
  • Handle confidential employee information professionally.
  • Work closely with HR Business Partners and management teams.

Required Qualifications

Applicants should have:
  • Bachelor’s Degree in:
    • Human Resource Management
    • Business Administration
    • Administration
    • Related discipline
  • Postgraduate Diploma in Human Resource Management is an added advantage.
