Stanbic Bank Uganda is seeking an experienced Benefits Administration Specialist to manage employee benefit programmes, ensure accurate payroll-related processing, support employee wellbeing initiatives, and strengthen compliance within the People & Culture (P&C) function.

Job Summary

The Benefits Administration Specialist will serve as the central coordination point for employee benefits administration, managing the complete benefits lifecycle including medical schemes, retirement benefits, risk benefits, employee claims, vendor relationships, reconciliations, and reporting.
The successful candidate will ensure accurate processing of benefits transactions, maintain employee benefits data integrity, support Pension Board activities, provide advisory services to employees and managers, and improve employee experience through efficient benefits management.
This role requires strong experience in benefits administration, payroll operations, financial reconciliation, HR systems, employee relations, and vendor management.

Key Responsibilities

1. Employee Benefits Administration
  • Manage end-to-end administration of employee benefits programmes.
  • Oversee medical, retirement, and risk benefit schemes.
  • Ensure employees receive consistent access to approved benefit offerings.
  • Manage employee enrolment into benefit schemes.
  • Ensure compliance with employment contracts and benefit policies.
  • Support employees with benefit-related guidance and information.
2. Benefits Processing and Reconciliation
  • Process employee benefit transactions accurately.
  • Perform regular reconciliation of benefits payments against internal records.
  • Verify payment requirements before processing.
  • Conduct post-payment quality reviews.
  • Identify and resolve financial discrepancies, exceptions, and payment variances.
  • Maintain accurate benefit payment records.
3. Payroll and Data Management
  • Maintain accurate employee benefits master data within payroll and HR systems.
  • Perform quality checks on benefits-related data captured in People & Culture systems.
  • Ensure data accuracy for payroll processing and statutory reporting.
  • Support data integrity through regular reviews and updates.
  • Generate reports on benefits utilisation and costs.
4. Vendor and Service Provider Management
  • Monitor performance of benefit service providers.
  • Ensure providers meet agreed Service Level Agreements (SLAs).
  • Coordinate communication between employees, vendors, and internal teams.
  • Address service delivery challenges and improve employee satisfaction.
5. Employee Support and Advisory Services
  • Act as the first point of contact for employee benefits enquiries.
  • Provide guidance on:
    • Medical benefits
    • Retirement schemes
    • Bursaries
    • Funeral claims
    • Other employee benefit programmes
  • Support employee awareness initiatives.
  • Develop communication materials explaining available benefits.
6. Reporting and Process Improvement
  • Prepare benefits reports for management and EXCO meetings.
  • Provide insights on benefits usage, costs, and trends.
  • Identify opportunities to automate benefits administration processes.
  • Improve efficiency and reduce manual processing errors.
  • Support continuous improvement of People & Culture operations.
