JOB OVERVIEW

Twyford International Uganda is seeking a detail-oriented and reliable Attendance Specialist to join its Human Resources team. The successful candidate will be responsible for maintaining accurate employee attendance, leave and overtime records while supporting payroll processes and effective workforce management.

The Attendance Specialist will play an important role in ensuring that employee working hours, absences, leave days and overtime are properly recorded, verified and reported. The position requires strong analytical ability, confidentiality, attention to detail and good knowledge of attendance management practices.

ABOUT THE ATTENDANCE SPECIALIST ROLE

The Attendance Specialist will work closely with the Human Resources and Operations teams to monitor employee attendance and ensure that workforce records are accurate and up to date.

The role involves reviewing attendance data, identifying discrepancies, supporting leave administration, monitoring overtime and providing accurate information for payroll processing.

The successful candidate should be comfortable working with large amounts of employee data and using Excel, attendance management systems and HRIS platforms.
 
KEY RESPONSIBILITIES
 
1. Employee Attendance Management
 
  • Monitor and maintain daily employee attendance records.
  • Review attendance data from biometric systems, electronic attendance systems or other approved platforms.
  • Identify missing attendance records, late arrivals, early departures and unexplained absences.
  • Follow up with employees and supervisors to resolve attendance discrepancies.
  • Prepare regular attendance reports for the Human Resources and Operations teams.
  • Ensure attendance records are accurate, complete and properly maintained.

2. Leave Administration
 
  • Maintain accurate employee leave records.
  • Monitor annual leave, sick leave and other approved forms of employee leave.
  • Verify leave requests against available employee leave balances.
  • Update HR records following approved leave.
  • Identify discrepancies between leave applications and attendance records.
  • Support HR management in preparing leave reports and workforce summaries.

3. Overtime Management
 
  • Monitor employee overtime hours and ensure they are properly recorded.
  • Verify overtime information submitted by departments and supervisors.
  • Compare approved overtime with attendance system records.
  • Prepare overtime reports to support payroll processing.
  • Escalate unusual or inconsistent overtime records for review.

4. Payroll Support
 
  • Provide accurate attendance, leave and overtime information to support payroll preparation.
  • Work with the HR and Finance teams to resolve payroll-related attendance discrepancies.
  • Ensure employee attendance information is submitted within agreed deadlines.
  • Maintain supporting documentation for payroll-related attendance adjustments.
  • Assist in responding to employee queries relating to attendance and payroll records.

5. HRIS and Attendance Systems
 
  • Maintain accurate employee information in attendance and HRIS systems.
  • Support the implementation and effective use of attendance management systems.
  • Generate reports from HRIS and attendance platforms.
  • Identify system-related attendance issues and report them to the appropriate team.
  • Ensure employee records are handled securely and confidentially.

6. Data Analysis and Reporting
 
  • Analyse attendance patterns and identify recurring issues.
  • Prepare daily, weekly and monthly attendance reports.
  • Track absenteeism, lateness, overtime and other attendance indicators.
  • Use Microsoft Excel to organise, analyse and present HR data.
  • Provide accurate information to management to support workforce planning and decision-making.

7. Compliance and Confidentiality
 
  • Maintain confidentiality of employee attendance, payroll and personal information.
  • Follow company HR policies and procedures.
  • Support compliance with applicable Ugandan employment and labour requirements.
  • Maintain accurate documentation for audits and internal reviews.
  • Ensure employee data is accessed and shared only with authorised personnel.

  • Experience working with attendance management systems and HRIS platforms.
  • Knowledge of Ugandan labour requirements relating to working hours, overtime and employee leave.
  • Strong Microsoft Excel skills.
  • Excellent attention to detail and data accuracy.
  • Good written and verbal communication skills.
  • Strong organisational and time-management abilities.
