As manufacturing operations continue to expand, Twyford International Uganda is strengthening its Warehouse & Logistics department and seeking a qualified WH&L Documentation Specialist to manage warehouse documentation, inventory records, shipment records, and logistics reporting.
The successful candidate will play an important role in ensuring accurate documentation, inventory traceability, compliance, and smooth movement of goods across the supply chain.

Job Summary

The WH&L Documentation Specialist will be responsible for managing all warehouse and logistics documentation related to receiving, storage, inventory movement, and dispatch of goods.
The role involves preparing shipping documents, maintaining inventory records, reconciling stock movements, tracking shipments, preparing reports, and ensuring compliance with warehouse procedures.
This position is suitable for candidates with experience in warehouse documentation, logistics administration, inventory management, supply chain operations, stock control, and manufacturing environments.

Key Responsibilities

1. Warehouse Documentation Management
  • Prepare, verify, and process warehouse and logistics documents including:
    • Goods Received Notes (GRNs)
    • Delivery Notes
    • Waybills
    • Dispatch documents
    • Stock movement records
  • Ensure all warehouse documents are accurate, complete, and properly filed.
  • Maintain proper documentation systems for easy retrieval and auditing.
  • Ensure documentation follows company warehouse procedures.
2. Inventory Records Management
  • Maintain accurate and updated inventory records.
  • Record all incoming and outgoing stock movements.
  • Support inventory tracking and stock reconciliation processes.
  • Ensure warehouse records match physical stock levels.
  • Identify and report documentation gaps affecting inventory accuracy.
3. Stock Movement Reconciliation
  • Compare physical stock movements with system records.
  • Investigate differences between warehouse records and actual inventory.
  • Support regular stock counts and inventory verification exercises.
  • Ensure all stock transfers are properly documented.
4. Shipment Tracking and Logistics Coordination
  • Track shipments from receiving to final delivery.
  • Maintain communication with warehouse teams, suppliers, transporters, and internal departments.
  • Provide shipment updates to relevant stakeholders.
  • Ensure all dispatch activities have proper supporting documents.
5. Warehouse Reporting
  • Prepare daily, weekly, and monthly warehouse documentation reports.
  • Compile inventory movement reports.
  • Provide accurate logistics information to management.
  • Support decision-making through timely warehouse data.
6. Compliance and Audit Support
  • Ensure warehouse documentation complies with company procedures.
  • Maintain document traceability for internal and external audits.
  • Support warehouse compliance reviews.
  • Ensure proper record keeping standards are maintained.
