AYFI is organising the High-Level Youth Dialogue with Policy-Makers Summit and is seeking motivated and professional volunteers to support the successful planning and implementation of the event.

Job Summary

Africa Youth Forum International (AYFI) is seeking a Protocol Assistant Volunteer to support event coordination, guest management, stakeholder engagement, and protocol-related activities during the High-Level Youth Dialogue with Policy-Makers Summit.
The successful candidate will assist with welcoming guests, coordinating participants, supporting communication between stakeholders, managing event logistics, and ensuring a professional experience for speakers, delegates, partners, and attendees.

Key Responsibilities

Event Protocol and Guest Management
  • Support protocol arrangements before and during the youth summit.
  • Welcome and guide guests, speakers, delegates, partners, and invited participants.
  • Assist with guest registration, identification, seating arrangements, and movement coordination.
  • Provide professional support to VIP guests and event participants.
  • Ensure guests receive accurate information about event schedules and activities.

Event Coordination and Logistics Support
  • Support the planning and implementation of summit activities.
  • Assist the organising team with event preparation and coordination tasks.
  • Help manage event materials, participant information, and operational requirements.
  • Support smooth communication between volunteers, organisers, speakers, and delegates.
  • Assist with venue preparation and event flow management.

Communication and Stakeholder Support
  • Provide professional assistance to participants and stakeholders.
  • Support communication activities before, during, and after the summit.
  • Assist with responding to participant inquiries and providing relevant information.
  • Work closely with the communications and coordination teams.
  • Maintain a positive image of AYFI throughout the event.

Documentation and Reporting
  • Assist in preparing event reports, records, and documentation.
  • Support collection of feedback and participant information where required.
  • Maintain confidentiality of sensitive event information.
  • Ensure accurate completion of assigned administrative tasks.

Team Collaboration
  • Participate in volunteer orientation, training sessions, and briefing meetings.
  • Work collaboratively with other volunteers and AYFI staff.
  • Follow instructions from supervisors and team leaders.
  • Perform additional duties assigned to support successful summit delivery.

Qualifications and Requirements

Applicants should meet the following requirements:
  • Diploma or Bachelor’s degree, or currently pursuing studies in a relevant field.
