AYFI is seeking dedicated and highly organized Volunteer Coordinators to support the planning and successful implementation of the High-Level Youth Dialogue with Policy-Makers Summit. This volunteer opportunity offers valuable experience in volunteer management, event coordination, stakeholder engagement, leadership, and project administration while contributing to one of Uganda’s premier youth leadership events.

Job Summary

The Volunteer Coordinator will support the recruitment, coordination, supervision, and motivation of volunteers assigned to various functions during the summit. The volunteer will work closely with event organizers to ensure volunteers are well-prepared, effectively deployed, and supported throughout the event.
The successful candidate will contribute to volunteer scheduling, communication, logistics, training coordination, reporting, and operational support to ensure the smooth delivery of summit activities.

Key Duties and Responsibilities

Volunteer Coordination & Management
  • Coordinate and support volunteers assigned to different summit activities.
  • Assist with volunteer recruitment, onboarding, and deployment.
  • Prepare volunteer schedules and duty assignments.
  • Monitor volunteer attendance and performance.
  • Provide guidance and support throughout the event.
  • Ensure volunteers understand their responsibilities and reporting lines.
Event Planning & Operations
  • Support planning and implementation of summit activities.
  • Coordinate volunteer logistics before, during, and after the event.
  • Assist with participant registration and guest reception where required.
  • Ensure operational activities run smoothly according to event plans.
  • Help resolve operational challenges promptly.
Communication & Stakeholder Engagement
  • Maintain regular communication with volunteers and event teams.
  • Collaborate with staff, speakers, delegates, and partners.
  • Share updates, schedules, and operational instructions.
  • Promote positive teamwork and effective collaboration.
  • Represent AYFI professionally throughout the event.
Training & Capacity Building
  • Support volunteer orientation and training sessions.
  • Assist in briefing volunteers before daily assignments.
  • Help volunteers understand event policies and procedures.
  • Encourage continuous learning and professional conduct.
Administrative & Documentation Support
  • Maintain volunteer records and attendance lists.
  • Assist in preparing reports and event documentation.
  • Record volunteer feedback and operational observations.
  • Maintain confidentiality when handling sensitive information.
  • Support administrative duties assigned by supervisors.
Leadership & Professional Conduct
