NFT Consult is seeking a motivated and physically capable Records Management Officer to support the organization’s archival management, document organization, and digital records cataloguing activities.

Job Summary

The Records Management Officer will support the management, organization, storage, and digitization of company records by handling physical archives, organizing document backlogs, and maintaining accurate electronic records.
This role is ideal for a fresh graduate in Records and Archives Management, Library and Information Science, or related fields who is ready to build practical experience in professional records management.
The successful candidate will perform both physical archive management tasks and computer-based records entry while ensuring compliance with records management standards, confidentiality requirements, and data protection policies.

Key Responsibilities

1. Physical Records Handling and Archive Management

The Records Management Officer will:
  • Lift, pack, organize, and arrange physical records and archival materials.
  • Handle boxes of files, ledgers, and company documents.
  • Load and offload records during movement to storage facilities.
  • Arrange records on shelves and warehouse storage systems.
  • Maintain clean, secure, and organized archive areas.
  • Manage access control procedures including keys and storage security.

2. Records Sorting and Classification

Responsibilities include:
  • Sort large volumes of documents according to approved classification systems.
  • Organize records:
    • Alphabetically
    • Chronologically
    • By department
    • According to records management procedures
  • Identify and categorize inactive and semi-current records.
  • Prepare physical files for storage and retrieval.
  • Ensure accurate arrangement of archival materials.

3. Digital Records Management and Data Entry

The role will involve:
  • Create detailed descriptions of stored records.
  • Prepare inventory lists for physical records.
  • Enter records information into electronic databases.
  • Update Electronic Document and Records Management Systems (EDRMS).
  • Transfer physical record indexes into spreadsheets and digital systems.
  • Maintain accurate electronic records catalogues.

4. Records Retrieval and Customer Support

The Records Management Officer will:
  • Retrieve physical and electronic records when requested.
  • Provide records support to company departments.
  • Ensure timely delivery of requested documents.
  • Maintain proper tracking of borrowed and returned records.
  • Support senior records management staff.

5. Data Protection and Records Compliance

Responsibilities include:
  • Follow records management policies and procedures.
  • Protect confidential company and client information.
  • Maintain secure storage of sensitive documents.
  • Prevent loss, damage, or unauthorized access to records.
  • Ensure compliance with data privacy requirements.

6. Archive Operations Support

The successful candidate will:
  • Support transfer of inactive records from offices to the Records Centre.
  • Assist in improving storage capacity and organization.
  • Follow workplace safety procedures.
  • Maintain accurate records movement documentation.
  • Perform other duties assigned by management.

Qualifications and Requirements

Academic Qualifications
Applicants must have:
  • Bachelor’s Degree in:
    • Records and Archives Management
    • Library and Information Science
    • Information Management
    • Related field
