Job Summary

Key Responsibilities

• Receive patient payments through approved channels including:
  • Cash
  • Point of Sale (POS)
  • Mobile Money
  • Electronic Funds Transfer (EFT)
  • Bank transfers
  • Cheques
• Issue official receipts immediately after receiving payments.
• Verify patient bills before processing payments.
• Ensure receipts are:
  • Properly signed
  • Stamped
  • Accurately recorded
• Process refunds only after receiving required approvals.
• Maintain accurate records of all payment transactions.

2. Daily Cash Management

• Balance daily collections against the hospital billing system.
• Prepare daily shift reconciliation reports.
• Maintain adequate cash float and ensure availability of change.
• Safeguard:
  • Cash collections
  • Cheques
  • Other financial instruments
• Hand over daily collections according to hospital procedures.
• Ensure all collections are deposited within approved timelines.
• Maintain proper accountability for all received funds.

3. Financial Controls and Compliance

• Follow C-Care financial policies and internal control procedures.
• Ensure all financial transactions have proper authorization and supporting documents.
• Maintain confidentiality of patient financial information.
• Report:
  • Cash shortages
  • Transaction discrepancies
  • Suspected fraud
  • Financial irregularities
• Participate in internal and external audit processes.
• Support compliance with financial regulations and hospital procedures.

4. Patient Billing Support

• Explain patient bills and payment statements when required.
• Support resolution of billing questions.
• Coordinate with:
  • Patient Accounts team
  • Insurance department
  • Finance team
• Process:
  • Patient deposits
  • Advance payments
  • Account settlements
• Ensure payments are accurately posted into the hospital management system.

5. Customer Service and Patient Support

• Provide professional and friendly service to patients and visitors.
• Respond to payment-related concerns promptly.
• Guide patients on billing procedures and available payment options.
• Maintain professionalism when handling difficult situations.
• Create a positive patient experience during financial interactions.

6. Financial Record Management

• Maintain organized filing systems for:
  • Receipts
  • Payment records
  • Financial documents
• Prepare:
  • Daily cashier reports
  • Weekly financial summaries
  • Monthly collection reports
• Maintain accurate records required for audit and accountability purposes.

Qualifications and Requirements

• Bachelor’s Degree in:
  • Accounting
  • Finance
  • Business Administration
  • Related Business Field
  • 
    

Professional Experience

• Minimum 2 years of experience in a cashier, finance, or accounting role.
• Previous experience working in a hospital or healthcare environment is highly desirable.
• Experience handling financial transactions and customer payments.
