Job Purpose

Twyford International Uganda is seeking a qualified and detail-oriented Warehouse and Logistics Documentation Specialist to manage and control warehouse and logistics documentation.
The successful candidate will ensure accurate, timely, and traceable recording of all stock movements involving tiles and sanitary ware at Twyford International Uganda.
The role focuses on maintaining proper warehouse records, verifying stock documentation, supporting inventory control processes, and ensuring compliance with approved warehouse procedures.

Key Responsibilities

Warehouse and Logistics Documentation
  • Prepare, verify, and maintain warehouse documents, including:
    • Goods Received Notes (GRNs)
    • Delivery notes
    • Waybills
    • Stock transfer documents
    • Picking lists
    • Issuing documents
  • Ensure all incoming and outgoing tiles and sanitary ware products are supported by correct and complete documentation.
  • Verify product details including:
    • Product codes
    • Product descriptions
    • Quantities
    • Batch details
    • Other relevant stock information
  • Ensure all warehouse documents are properly completed, approved, recorded, and filed.
  • Maintain accurate documentation records and traceability for all warehouse activities.

Stock Movement Records and Inventory Control

  • Record and maintain accurate records of all:
    • Stock receipts
    • Stock transfers
    • Stock issues
    • Dispatch activities
  • Reconcile physical stock movement documentation with system records.
  • Track internal and inter-warehouse stock transfers.
  • Identify and report:
    • Missing documents
    • Documentation errors
    • Stock movement discrepancies
  • Support warehouse teams in maintaining accurate inventory records.
  • Assist during stock counts, inventory verification, and reconciliation exercises.

Reporting and Data Management

  • Update warehouse and inventory systems accurately and on time.
  • Maintain accurate records of all warehouse transactions.
  • Prepare daily, weekly, and monthly warehouse documentation reports.
  • Maintain proper physical and electronic filing systems.
  • Support inventory audits and stock reconciliation activities.
  • Provide accurate warehouse information for management review and decision-making.

Compliance and Documentation Controls

  • Ensure compliance with approved warehouse documentation procedures.
  • Maintain proper document traceability for all stock transactions.
  • Ensure warehouse records are available for:
    • Internal audits
    • External audits
    • Management reviews
  • Safeguard company and inventory information.
  • Support implementation of warehouse controls and documentation improvement initiatives.

Qualifications and Experience

Education Requirements
Applicants should have:
  • Diploma or Bachelor’s Degree in:
    • Supply Chain Management
    • Logistics
    • Business Administration
    • Records Management
    • Procurement and Logistics
    • Related fields

Professional Experience

  • Minimum 2–4 years of experience in:
    • Warehouse documentation
    • Logistics operations
    • Inventory control
    • Stock management
    • Supply chain operations

Experience in the following sectors is an added advantage:
  • Manufacturing environment
  • Distribution companies
  • Building materials industry
  • Warehousing operations
  • FMCG companies

Technical Skills Required

  • Proficiency in Microsoft Office applications:
    • Microsoft Excel
    • Microsoft Word
    • Microsoft Outlook
  • Experience using:
    • ERP systems
    • Warehouse Management Systems (WMS)
    • Inventory management software
  • Ability to prepare warehouse reports and analyze stock data.
  • Strong data entry and electronic record management skills.
