PROGRAM BACKGROUND

The Facilities and Administration Team of the Uganda Country Program is responsible for:
  • Ensuring the office environment is well maintained and clean.
  • Maintaining proper office ventilation and lighting.
  • Supporting domestic and international travel arrangements for staff.
  • Managing country program store records.
  • Supporting office safety and security management functions.

INTERNSHIP RESPONSIBILITIES

The intern will support the Facilities and Administration team in the following areas:
Facilities Management
  • Support oversight of the facilities cleaning team.
  • Assist in maintaining a clean, safe, and organized office environment.
Store Records Management
  • Update office store records on a weekly basis.
  • Support reconciliation and monitoring of inventory records.
Travel Coordination
  • Organize domestic and international travel arrangements for staff.
  • Coordinate accommodation bookings where necessary.
  • Liaise with vehicle service providers to secure transportation for staff travel.
Reporting
  • Prepare monthly travel charge list reports.
  • Support administrative documentation and record management.

LEARNING OBJECTIVES AND GOALS

At the end of the internship, the intern should be able to:
  • Maintain and reconcile office store records accurately.
  • Interact professionally with service providers during procurement and service requests.
  • Coordinate domestic and international travel arrangements.
  • Reconcile monthly bills and reports.
  • Gain practical experience in facilities management and office administration.
  • Develop skills in inventory management, reporting, and service provider coordination.

REQUIRED SKILLS AND QUALIFICATIONS

Education
  • Must be a final-year Bachelor's Degree student from an accredited university.
Skills and Competencies
  • Excellent spoken and written English communication skills.
  • Ability to work in a professional office environment.
  • Strong organizational and administrative skills.
  • Attention to detail and accuracy.
