POSITION
Finance Assistant
Department: Finance
Reports To: Finance Officer
Location: Kampala, Uganda
Experience Required: 2+ Years
Travel Requirement: Up to 30%

POSITION PURPOSE
The Finance Assistant will support the Finance Team in ensuring accurate bookkeeping, budget preparation, financial analysis, monitoring, reporting, and accounting execution across assigned field districts.
The role provides financial advisory support to field teams, maintains strong financial controls, supports compliance requirements, and contributes to efficient financial operations across the organization.

KEY RESPONSIBILITIES
Financial Records Management
• Maintain, organize, and file financial documents including cash advances, payment requests, receipts, and supporting documentation.
• Ensure financial records are accurate, complete, audit-ready, and easily accessible.
• Update finance systems with timely and accurate financial information.
• Participate in monthly Sage project reconciliations.
Budgeting & Financial Monitoring
• Support budgeting, budget monitoring, and budget tracking activities.
• Assist in implementing financial policies and procedures.
• Serve as a Finance Business Partner to assigned field offices.
• Monitor budget utilization and support financial planning activities.
Account Reconciliation & Financial Controls
• Reconcile staff advances, petty cash accounts, and project-specific accounts on a monthly basis.
• Manage and track weekly staff advance activities.
• Review project activity accountability and investigate discrepancies.
• Follow up on outstanding accountability and financial documentation.
• Maintain strong internal financial controls and compliance procedures.
Accounting & Transaction Processing
• Post journal entries (JE) accurately and timely.
• Manage fuel accountability records and government official payment records.
• Receive, verify, and log invoices before processing.
• Process invoices through the procurement module.
• Follow up and resolve vendor payment issues and disputes.
Mobile Money & Payment Management
• Review mobile money transactions for compliance and accuracy.
• Initiate payments through Beyonic and other approved payment systems.
• Verify beneficiary details and investigate transaction variances.
• Ensure compliance with organizational financial procedures.
Compliance & Advisory Support
• Report non-compliant financial practices to the Senior Finance Officer or Finance & Administration Manager.
• Provide financial guidance to staff on organizational policies and procedures.
• Recommend improvements to enhance efficiency, accuracy, compliance, and cost savings.
• Support internal and external audit processes.
REQUIRED QUALIFICATIONS
• Bachelor’s Degree in:
  • Accounting
  • Accounting and Finance
  • Business Administration (Accounting)
  • Finance
  • Related Field
• Minimum of two (2) years professional experience in:
  • Accounting
  • Bookkeeping
  • Finance Management
  • Audit
• Practical experience using mobile money payment solutions.
PREFERRED QUALIFICATIONS
• Experience with Sage Accounting Software or similar accounting systems.
• Partial or full professional qualification in:
  • CPA
  • ACCA
• Experience working within NGO, nonprofit, or international development environments is an added advantage.
