Key Responsibilities
  •  Support programme officers in planning and implementing field activities 
  •  Assist in data collection, monitoring, and evaluation (M&E)
  •  Contribute to the preparation of programme reports and documentation 
  •  Participate in community engagement and sensitization activities 
  •  Support coordination with CSO partners and stakeholders 
  •  Assist with administrative tasks related to programme delivery 
Required Qualifications

Finance and Administration Officer – Role Overview (NGO / Donor-Funded Programs)
Position Summary
The Finance and Administration Officer provided critical financial management and operational support to donor-funded programs. The role ensured strict compliance with donor regulations while maintaining efficient day-to-day office administration, procurement, and logistics operations.
Key Responsibilities
Donor Compliance & Financial Management
  • Grant Accounting: Tracked project expenditures against donor budgets (USAID, EU, UN, and private foundations), ensuring full eligibility and compliance with funding requirements. 
  • Transaction Recording: Reviewed and recorded daily financial transactions into accounting systems using correct donor and project coding. 
  • Cash Flow Management: Managed project bank accounts, handled petty cash operations, and prepared monthly cash flow forecasts for field and head offices. 
  • Financial Reporting: Assisted in preparing accurate and timely monthly and quarterly financial reports for donors and headquarters. 
  • Statutory Compliance: Prepared and submitted statutory deductions including PAYE, NSSF, and withholding taxes in line with national regulations. 
  • Audit Support: Organized financial records, vouchers, and supporting documents to ensure smooth internal, external, and donor audits. 
Procurement, Administration & Logistics
  • Procurement Management: Coordinated procurement of goods and services in compliance with donor and organizational procurement policies. 
  • Vendor & Asset Management: Maintained updated vendor databases and managed asset registers and inventory tracking systems. 
  • Logistics Coordination: Organized staff travel arrangements, managed vehicle usage logs, and supported field missions and workshops. 
  • Office Administration: Supervised daily office operations including maintenance, security services, and support staff such as drivers and cleaners. 
Required Qualifications & Experience
  • Education: Bachelor’s degree in Accounting, Finance, or Business Administration. 
  • Professional Qualification: Progress towards CPA or ACCA (minimum Level II preferred). 
  • Experience: At least 3 years of experience in finance and administration within an NGO or international development organization. 
  • Donor Experience: Proven experience managing donor-funded projects and compliance reporting. 
  • Systems Knowledge: Proficiency in QuickBooks, Xero, Salesforce, or NGO ERP systems, with advanced Microsoft Excel skills.
