BRAC Uganda is seeking a reliable and responsible Office Assistant to support office operations, maintain workplace safety, protect organisational assets, and provide administrative support services at the Arua Regional Office.

Job Summary

The Office Assistant will work under the supervision of the Senior Officer – Administration and Procurement.
The role is responsible for ensuring the safety and protection of office premises, maintaining cleanliness and orderliness, supporting meetings and events, handling official document deliveries, and assisting with basic office operations.
The successful candidate should be trustworthy, organised, security-conscious, and able to work effectively with minimal supervision.

Key Responsibilities

1. Office Security and Safety
  • Ensure maximum safety and security of office premises.
  • Protect organisational property and equipment.
  • Monitor activities around the office environment.
  • Report any security concerns or risks to the appropriate authorities.
  • Maintain awareness of issues that may affect workplace safety.
2. Office Opening and Closing Duties
  • Open and close office premises on time.
  • Ensure office areas are properly secured.
  • Support daily readiness of the workplace.
  • Ensure facilities are accessible during working hours.
3. Office Maintenance and Cleanliness
  • Maintain cleanliness and orderliness of office premises.
  • Ensure workspaces remain clean and presentable.
  • Support proper arrangement of office facilities.
  • Assist in maintaining a safe and comfortable working environment.
4. Meeting and Event Support
  • Assist in preparing meeting rooms.
  • Support office meetings and organisational events.
  • Arrange required materials and facilities.
  • Assist staff and visitors when required.
5. Document Delivery and Office Support
  • Deliver official documents and materials to relevant offices.
  • Collect and distribute important correspondence.
  • Handle office materials responsibly.
  • Maintain confidentiality of official documents.
6. Logistics and Materials Handling
  • Load and offload official materials.
  • Support movement of office supplies and equipment.
  • Assist with basic logistics activities when required.
7. Generator Management
  • Switch on the generator during power outages.
  • Ensure generator fuel availability.
  • Monitor generator condition and maintenance needs.
  • Prepare monthly generator usage reports including:
    • Fuel consumption records.
    • Supporting documents.
    • Maintenance information.
8. Reporting and Documentation
  • Prepare and submit monthly reports to the supervisor.
  • Maintain records related to:
    • Generator usage.
    • Fuel consumption.
    • Office support activities.
  • Provide feedback to improve office operations.
9. Safeguarding Responsibilities
The Office Assistant will:
  • Understand and promote BRAC safeguarding policies.
  • Support safe working practices.
  • Report safeguarding concerns through proper channels.
  • Encourage colleagues to follow safeguarding standards.
  • Ensure actions and behaviours align with BRAC values.

Required Qualifications

Applicants should have:
  • Minimum Uganda Certificate of Education (UCE) or equivalent qualification.

Required Experience

Candidates should have:
  • At least 1 year of experience in a related role.
  • Experience working in:
    • Office support.
    • Administration.
    • Facilities management.
    • Security support.
    • NGO or organisational environments.
