Job Description

JOB SUMMARY

The MEAL Assistant supports the mission of Medical Teams International by ensuring accurate and up-to-date collection, management, and reporting of patient and programme data. The role contributes to evidence-based decision-making at health facility level through data entry, cleaning, analysis, and reporting.

KEY RESPONSIBILITIES

Monitoring & Evaluation Responsibilities
  • Support medical staff in recording patient information in paper-based files, patient forms, and registers while ensuring timely entry into HIS/HMIS electronic and manual systems.
  • Conduct basic data analysis and prepare presentations highlighting recent health facility performance trends.
  • Generate weekly and monthly reports in line with established reporting standards and schedules.
  • Mentor health facility staff on proper data management practices and procedures.
  • Clean and update database records to ensure accuracy, completeness, and reliability of programme information.
  • Participate in programme surveys including KAP surveys, Food Security and Nutrition Assessments, and patient exit interviews.
  • Enter programme outputs into national and donor reporting platforms such as DHIS2 and HIS systems.
  • Monitor availability of registers and reporting tools and ensure adequate stock levels at health facilities and stores.
  • Compile programme data to support preparation and dissemination of progress reports and donor reports.
  • Support the MEAL Officer in conducting assessments such as ABSC aimed at measuring service quality and programme performance.
  • Ensure safe storage of data collection tools and maintain confidentiality of patient information in line with data protection guidelines.
  • Work closely with the Public Health team in documenting accountability mechanisms, community dialogues, listening sessions, and other feedback platforms.
  • Lead facility-based learning and reflection meetings and ensure follow-up of agreed action points during programme implementation.
  • Promote safeguarding of programme participants and staff by supporting awareness creation and adherence to Medical Teams International policies on Protection from Sexual Exploitation and Abuse, Child and Vulnerable Adult Protection, and Harassment-Free Workplace standards.

QUALIFICATIONS, LICENSES & CERTIFICATIONS

Required Qualifications
  • Bachelor’s Degree in Statistics, Quantitative Economics, Social Sciences, Information Technology, or a related field.
OR
  • Diploma in Health Information and Records Management from a recognized institution.
  • Strong computer proficiency in Microsoft Office applications including Word, Excel, and PowerPoint.

EXPERIENCE REQUIREMENTS

Required Experience
  • Minimum of one (1) year experience managing health-related data within a Ministry of Health or NGO environment.
  • Experience working in a health setting and using HIS/HMIS systems is an added advantage.
Preferred Experience
  • Previous experience working with international NGOs is an added advantage.

KNOWLEDGE REQUIREMENTS

  • Basic understanding of data management principles and best practices.
  • Knowledge of health data analysis methods and reporting procedures.
  • Familiarity with electronic data collection tools such as ODK Collect and Kobo Toolbox.

SKILLS & COMPETENCIES

  • Proficiency in using HIS/HMIS databases and Microsoft Office applications including Word, Excel, and PowerPoint.
  • Ability to prepare basic reports and conduct simple data visualization.
  • Strong communication, training, and capacity-building skills.
  • Proficiency in communication and collaboration platforms such as Outlook, Microsoft Teams, and Zoom.
  • Strong analytical ability with excellent attention to detail.
