JOB DESCRIPTION – CUSTOMER SERVICE ADMINISTRATOR (EXPORTS) | CEVA LOGISTICS UGANDA
JOB SUMMARY
The Customer Service Administrator – Exports is responsible for coordinating end-to-end export shipment operations, ensuring accurate documentation, regulatory compliance, and high-quality customer service. The role focuses on efficient cargo handling, timely communication with stakeholders, and smooth execution of export logistics processes.
KEY RESPONSIBILITIES
Export Operations Coordination
  • Oversee receiving and processing of export cargo in compliance with SOPs
  • Execute daily export planning and shipment allocation for timely dispatch
  • Ensure cargo handling efficiency, security, and compliance standards
Customer Service Management
  • Act as the main contact for export customers
  • Provide shipment tracking updates, delays, and delivery confirmations
  • Handle customer inquiries, complaints, and resolve issues promptly
Documentation & Compliance
  • Ensure accurate preparation, verification, and maintenance of shipment files
  • Maintain 100% data accuracy in Transport Management Systems
  • Ensure compliance with customs regulations, export procedures, and company policies
Stakeholder Coordination
  • Liaise with carriers, customs agents, terminals, transporters, and overseas offices
  • Ensure smooth cargo movement and timely shipment execution
Reporting & Administration
  • Prepare and submit timely operational reports
  • Process invoices and supporting documents for clients and internal teams
  • Maintain proper filing and record-keeping of all shipment documents
Process Improvement
  • Identify causes of delays and operational inefficiencies
  • Recommend improvements to enhance service delivery and performance
REQUIREMENTS
  • Bachelor’s degree in Logistics, Supply Chain Management, Procurement, Business Administration, or related field
  • Minimum 2 years’ experience in clearing & forwarding or logistics operations
  • Strong knowledge of export documentation and international shipping processes
  • Excellent communication and customer service skills
  • Ability to work under pressure and meet strict deadlines
  • Strong attention to detail and computer proficiency
  • High integrity, self-driven, and team-oriented
