Administrative Officer

Job Summary
This position involves receiving, registering, directing, and billing patients while providing exceptional customer service. The Administrative Officer is responsible for accurate patient information collection, insurance verification, billing processes, and maintaining positive patient interactions.
Job Details
Patient Registration
  • Greet and welcome patients and visitors in a courteous and professional manner.
  • Collect and accurately record patient information, including personal details, insurance information, and medical history.
  • Ensure all required forms and documents are completed and signed by patients.
  • Manage patient bookings and appointments.
Insurance Verification
  • Verify patient insurance coverage and eligibility, including co-pays and deductibles.
  • Communicate insurance-related information to patients and assist with inquiries.
  • Collaborate with insurance providers to resolve discrepancies and insurance-related issues.
Billing and Payment Processing
  • Generate and review patient bills, ensuring accuracy and completeness.
  • Explain billing procedures and financial obligations to patients.
  • Collaborate with the team and supervisor to resolve billing inquiries or disputes.
  • Post invoices and present them to clients.
  • Present updated interim bills and invoices to clients.
  • Submit invoices requiring pre-approval to insurance providers.
  • Close patient visits in the system and submit invoices to the vetting team.
Patient Relations
  • Maintain a friendly, welcoming, and patient-centered environment.
  • Handle patient inquiries, complaints, and concerns professionally and empathetically.
  • Ensure patient confidentiality and privacy are maintained at all times.
  • Capture and facilitate immediate resolution of patient complaints.
  • Develop urgent action plans for issues affecting patient satisfaction.
  • Report service gaps and recommend interventions.
  • Maintain working knowledge of the appointment system, clinic schedules, appointment durations, doctors’ rotas, and booking procedures.
  • Operate the switchboard and manage telephone communications professionally according to organizational protocols.
  • Ensure all patient interactions and confidential documents are handled according to information security and confidentiality guidelines.
Patient Directing
  • Direct patients to the appropriate departments or healthcare professionals.
  • Provide clear directions within the facility to ensure smooth patient flow.
  • Address patient concerns and questions regarding their visit.
Requirements
  • Bachelor’s Degree in any Business-related field.
  • Minimum of 1 year of experience in a service industry.
