Front Office & Facilities Assistant – Job Description (Uganda)
The Front Office & Facilities Assistant serves as the first point of contact for visitors, guests, and callers at the Kampala office. The role ensures a professional, welcoming, and secure reception environment while supporting administrative, communication, and facilities coordination in line with security and operational procedures.
Key Responsibilities
Reception & Visitor Management
  • Serve as the first point of contact for all visitors and guests
  • Screen, register, and direct visitors in coordination with security
  • Manage visitor check-in procedures and ensure access control compliance
  • Maintain a clean and professional reception area
Communication Handling
  • Answer, screen, and route incoming calls
  • Take and relay accurate messages
  • Respond to general inquiries and escalate complex issues
Mail & Correspondence
  • Receive, sort, log, and distribute mail and courier deliveries
  • Manage incoming and outgoing correspondence tracking
Security & Access Control
  • Monitor access to reception area
  • Ensure proper visitor sign-in, badges, and escort procedures
  • Support office opening and closing security checks
  • Report maintenance and safety issues
Administrative & Facilities Support
  • Perform administrative tasks (filing, photocopying, document organization)
  • Supervise office cleaners and ensure cleanliness standards
  • Manage office supplies and purchase requisitions
  • Support meetings and event logistics
Visitor & Logistics Support
  • Assist with international visitor coordination
  • Provide basic orientation and logistical support
  • Support scheduling and coordination tasks
Requirements
Education
  • Bachelor’s Degree in Business Administration, Communications, Public Relations, or related field
  • Certificate/short course in Customer Service, Front Office Management, or Records Management
Skills & Competencies
  • Strong Customer Service Skills
  • Excellent Communication Skills (English)
  • Strong Organizational Skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
  • Strong Attention to Detail
  • Ability to maintain Confidentiality
  • Ability to work in fast-paced and security-sensitive environments
Experience
  • Not mandatory (Entry-level role)
