The organization is seeking a qualified and detail-oriented Finance Assistant (Maternity Cover) to support financial operations, compliance, reporting, and administrative processes within the country office.

Job Purpose

The Finance Assistant (Maternity Cover) will support the Finance Specialist in ensuring accurate financial management, compliance with organizational policies, donor requirements, and internal control procedures.
The role involves processing financial transactions, maintaining financial records, supporting reporting processes, managing documentation, monitoring cash transactions, and providing administrative support to ensure smooth implementation of DCA programs.

Key Responsibilities

Financial Data Management
  • Record all financial transactions accurately and on a daily basis using approved financial systems.
  • Ensure completeness, accuracy, and consistency of financial records.
  • Maintain organized physical and electronic filing systems in line with audit requirements.
  • Ensure financial documents are properly labelled, securely stored, and easily accessible.
  • Support continuous improvement of financial documentation and record management systems.
  • Manage petty cash according to organizational procedures.
  • Conduct weekly and monthly cash counts with relevant managers.
  • Reconcile cash balances and investigate any discrepancies.
  • Monitor staff advances and ensure timely accountability.
  • Support processing of salaries and field payments.
  • Follow up outstanding advances and ensure proper settlement.

Financial Verification and Documentation

  • Review payment requests and supporting documents to confirm accuracy and compliance.
  • Verify invoices, receipts, approvals, and other financial documentation before processing payments.
  • Ensure all financial transactions have complete supporting documentation.
  • Maintain accountability and transparency through proper record keeping.
  • Submit financial documents and reports within required timelines.

Financial Reporting and Information Sharing

  • Support preparation of timely financial and administrative reports.
  • Provide accurate financial information to support program planning and decision-making.
  • Work closely with program, logistics, and partner teams to ensure effective service delivery.
  • Provide guidance on financial procedures and documentation requirements.

Policy Compliance and Internal Controls

  • Ensure compliance with DCA financial policies, donor requirements, and operational guidelines.
  • Maintain proper segregation of duties and strong internal control systems.
  • Monitor financial activities to identify risks and irregularities.
  • Report suspected fraud, misuse of funds, or financial risks immediately.
  • Support audit preparation and implementation of audit recommendations.

Financial Service Delivery

  • Process payments accurately and within approved timelines.
  • Ensure proper authorization of all financial transactions.
  • Support timely payment of salaries, suppliers, and operational expenses.
  • Maintain continuity of financial services supporting program implementation.

Administration and Operations Support

  • Provide daily administrative support to office operations.
  • Support procurement, logistics, and office management activities.
  • Assist in asset tracking and inventory management.
  • Support coordination between finance and operational teams.

Coordination with Programme Teams

  • Ensure financial processes support program implementation schedules.
  • Work with program teams to provide timely financial assistance.
  • Support partners with financial procedures and compliance requirements.
  • Promote effective collaboration between finance and program departments.

Monitoring and Continuous Improvement

  • Monitor performance of financial and administrative services.
  • Identify areas for improvement in financial processes.
  • Implement improvements based on audit findings and operational feedback.
  • Support efficient and accountable financial management practices.

Required Qualifications

Academic Requirements
  • Diploma or Bachelor’s degree in:
    • Accounting
    • Finance
    • Business Administration
    • Economics
    • A related field
  • Partial professional qualification in:
    • CPA
    • ACCA
    • Other recognized accounting qualifications
      is an added advantage.

Professional Experience

  • Minimum of 2–3 years of relevant experience in finance and/or administration.
  • Experience working within an NGO, humanitarian organization, or development sector is highly desirable.
  • Experience supporting field-based operations is an added advantage.
  • Practical experience using ERP systems such as Maconomy ERP or other accounting systems.

Required Skills and Competencies

Technical Skills
  • Strong knowledge of accounting procedures and financial controls.
  • Proficiency in Microsoft Excel and financial reporting tools.
  • Ability to maintain accurate financial records.
  • Good understanding of budgeting, reconciliation, and payment processing.

The Finance Assistant will be evaluated based on:
  • Accuracy and completeness of financial records.
  • Timely processing of payments and financial transactions.
  • Compliance with donor and organizational requirements.
  • Proper documentation and filing of financial records.
  • Successful completion of reconciliations.
  • Quality and timeliness of financial reports.
  • Effective support to program and administrative teams.

Contract Details

  • Contract Duration: Six (6) Months
  • Contract Type: Maternity Cover
  • Working Hours: 40 hours per week
  • Expected Start Date: 3rd September 2026
