The school is seeking a qualified and detail-oriented Assistant Bursar to support financial operations and ensure accurate financial management in line with school policies and statutory requirements.

Job Summary

The Assistant Bursar will support the Bursar in managing the daily financial activities of Kansanga Hill Primary School.
The successful candidate will assist in maintaining accurate financial records, processing transactions, managing school fee accounts, preparing financial reports, supporting payroll activities, and ensuring compliance with accounting standards and government regulations.
This role requires a highly organized finance professional with strong attention to detail, integrity, confidentiality, and the ability to work effectively in a busy school environment.

Key Responsibilities

School Fees and Income Management
  • Prepare invoices and receipts for school fees and other income sources.
  • Maintain accurate pupil financial ledgers.
  • Record and update fee payments and transactions in the accounting system.
  • Monitor outstanding balances and support fee collection processes.
  • Respond professionally to parent and guardian inquiries regarding financial matters.
  • Maintain accurate records of all school income.

Financial Transactions and Accounting Support

  • Process payment vouchers and supporting financial documents.
  • Prepare journal entries and bank payment documentation.
  • Manage petty cash transactions and maintain proper records.
  • Support cheque preparation and bank withdrawal processes.
  • Ensure all financial transactions are properly authorized and documented.
  • Maintain organized financial filing systems.

Bank Reconciliation and Financial Reporting

  • Prepare monthly bank reconciliation statements.
  • Assist in preparing monthly management reports.
  • Support preparation of:
    • Cash-flow statements
    • Budgets
    • Annual financial statements
    • Financial analysis reports
  • Provide accurate financial information to support decision-making.

Payroll and Statutory Compliance

  • Assist in monthly payroll preparation.
  • Support preparation and submission of statutory returns including:
    • PAYE
    • Withholding Tax
    • NSSF
  • Ensure compliance with Ugandan taxation and financial regulations.
  • Maintain confidentiality of employee and financial records.

Audit and Financial Controls

  • Support annual financial audit processes.
  • Prepare required financial documents for auditors.
  • Ensure compliance with school financial policies and procedures.
  • Safeguard financial information and cash transactions.
  • Identify and report financial discrepancies.

Required Qualifications

Applicants should have:
  • Minimum of a Diploma in:
    • Accounting
    • Commerce (Accounting Option)
    • Finance
    • Business Administration
    • Related field
Additional advantage:
  • Progress toward or completion of CPA Level I or higher.

Experience Requirements

Candidates should have:
  • At least 2 years of experience in a similar accounting or finance role.
  • Experience working in an educational institution will be an added advantage.
  • Practical experience in:
    • Financial record keeping
    • Transaction processing
    • Financial reporting
    • Budget preparation
    • Accounting systems

Technical Knowledge and Skills

Applicants should have knowledge of:
  • International Financial Reporting Standards (IFRS).
  • Financial reporting principles.
  • Ugandan taxation requirements.
  • PAYE, Withholding Tax, and NSSF compliance.
  • Bank reconciliation processes.
  • Payment vouchers and journal entries.
  • Budget preparation and cash-flow management.
  • School fee management systems.
