Biyinzika Poultry is seeking an experienced and results-oriented Dispatch Supervisor to oversee dispatch, cold room, and delivery operations at its Kigunga Abattoir.

Job Purpose
The Dispatch Supervisor will lead and coordinate all dispatch, cold room, and delivery activities to ensure customer orders are accurately picked, safely loaded, dispatched on time, and delivered in accordance with company Standard Operating Procedures (SOPs), food safety standards, and customer expectations.
The role is accountable for maintaining On-Time In-Full (OTIF) performance, inventory accuracy, cold chain compliance, labour productivity, operational discipline, and overall dispatch efficiency while ensuring compliance with company policies and quality standards.

Key Responsibilities
Dispatch Operations
  • Plan, coordinate, and supervise all daily dispatch activities.
  • Ensure customer orders are picked accurately and completely.
  • Supervise loading operations to ensure timely completion.
  • Ensure delivery trucks depart according to schedule.
  • Monitor dispatch performance and resolve operational bottlenecks.

Cold Room Management
  • Manage stock using FIFO (First-In, First-Out) and FEFO (First-Expired, First-Out) principles.
  • Monitor cold room temperatures to maintain product quality.
  • Ensure efficient space utilization and proper housekeeping.
  • Oversee stock movements and cold chain integrity.

Delivery Operations
  • Supervise delivery clerks and coordinate truck departures.
  • Monitor Proof of Delivery (POD) documentation.
  • Resolve customer delivery issues promptly and professionally.
  • Ensure deliveries meet customer expectations and company service standards.

Inventory Control
  • Perform daily inventory reconciliation.
  • Investigate stock variances and discrepancies.
  • Ensure accurate inventory transactions in the ERP system.
  • Maintain high inventory accuracy levels.

Team Leadership
  • Supervise approximately:
    • 30 Dispatch Staff
    • 20 Delivery Clerks
    • 5 Cold Room Staff
  • Plan work schedules and shift allocations.
  • Monitor attendance and staff productivity.
  • Coach, mentor, and evaluate team performance.
  • Enforce discipline and company policies.

Health, Safety & Food Safety
  • Ensure compliance with:
    • Good Manufacturing Practices (GMP)
    • HACCP requirements
    • Personal Protective Equipment (PPE) standards
    • Cold chain management procedures
  • Promote workplace health and safety at all times.

Operational Productivity
  • Improve dispatch efficiency and loading turnaround times.
  • Increase labour productivity through continuous improvement initiatives.
  • Identify opportunities to streamline logistics operations.

Customer Service
  • Handle urgent customer orders efficiently.
  • Resolve customer concerns and delivery-related issues promptly.
  • Maintain high levels of customer satisfaction.

Reporting
Prepare and submit regular operational reports, including:
  • Daily dispatch reports
  • Stock reports
  • Attendance reports
  • OTIF performance reports
  • Safety reports
  • Any additional reports requested by management

Minimum Qualifications
Applicants should possess:
  • Bachelor's Degree in:
    • Logistics
    • Supply Chain Management
    • Operations Management
    • Business Administration
    • Or a related field.

Experience
  • Minimum 3–5 years' experience in warehouse, logistics, or dispatch operations.
  • Experience supervising large operational teams.
  • Experience using ERP systems.
  • Advanced Microsoft Excel skills.
  • Experience in FMCG, manufacturing, food processing, or logistics operations is an added advantage.
